AI agent automates advance payment requests using receipt data and employee profiles, streamlining financial workflows at Riga City Council
Riga City Council’s Financial Department processes up to 19,000 advance-related documents annually (related to medication, eyewear etc.). The goal was to reduce manual work, minimize errors, and accelerate processing by introducing a GenAI-powered agent that simplifies form preparation and data entry, while improving employee experience.
We have developed a GenAI agent integrated into MS Teams, available on both desktop and mobile. The solution enables employees to request and auto-fill advance payment and reimbursement forms using personal and receipt data, while also supporting the upload of multiple receipts for automatic metadata extraction such as amount, date, and vendor. It provides real-time answers to process-related questions by leveraging internal process information and personalized guidance. A “My Requests” dashboard is included for tracking and managing submissions, with seamless integrations to document management and ERP systems that allow efficient data exchange and status updates.
Additionally, the solution offers personalized microlearning lessons to support user adoption and strengthen process understanding.
The full solution is scheduled for production launch by the end of the year.
